How your information is handled

Who I am

I'm Xena Voss — author, creator, and the person behind everything on XenaVoss.com. If you have any questions about how your data is handled, you can reach me directly at contact@xenavoss.com. I'm the only one responsible for this site and the data associated with it.

What I collect

I only collect what I genuinely need, and nothing more. Here's what that looks like in practice:

  • Your name and email address — when you subscribe to my newsletter or reach out to me through a contact form.
  • Reading preferences or interests — only if you choose to share them with me (for instance, through a sign-up form that asks what kind of writing draws you in).
  • Technical data — your IP address, browser type, device information, and pages visited. This is collected automatically when you visit the site, via cookies and analytics tools.

I never collect sensitive personal data — nothing relating to your health, political views, religious beliefs, or anything of that nature. That's not territory I'm interested in, and it's not territory I enter.

Why I collect it

The reasons are simple and, I hope, unsurprising:

  • To send you the newsletters, updates, and content you've asked to receive.
  • To understand how readers find and move through my work — so I can make the experience better.
  • To respond when you reach out to me.
  • To keep the website running smoothly and securely.

Legal basis (GDPR)

For those in the EU, here's the legal grounding for how I process your data:

  • Consent — for the newsletter and any cookies that aren't strictly essential. You opt in; you can opt out.
  • Legitimate interest — for basic analytics and website security, where my interest in running a functional site is balanced carefully against your privacy.
  • Contractual necessity — if you ever purchase something through this site, processing your order requires handling the relevant details.

How long I keep your data

I keep your information only as long as it serves the purpose it was collected for:

  • Newsletter contact details are retained for as long as you remain subscribed, and are deleted within 30 days of unsubscribing.
  • Contact-form messages are kept for up to 12 months, so I can follow up if needed, and are then removed.
  • Technical and analytics data is retained only in the anonymized or aggregated form set by the analytics tool in use, per that tool's own retention settings.

When data is no longer needed for these purposes, I delete it. I don't keep things around out of habit.

Who I share it with

Your data is never sold. Not to anyone. Not ever.

That said, running a website means working with a small number of third-party tools. These may process some of your data on my behalf:

  • Email marketing platform (such as Mailchimp or ConvertKit) — to deliver the newsletter.
  • Website analytics (such as Google Analytics or Plausible) — to help me understand how the site is used.
  • Web hosting provider — to keep the site live and operational.

All third parties I work with are GDPR-compliant. I only use services that meet that standard.

Your rights

You have meaningful rights over your own information, and I want you to feel free to use them:

  • The right to access the personal data I hold about you.
  • The right to correct anything that's inaccurate.
  • The right to delete your data — to be forgotten.
  • The right to export your data in a portable format.
  • The right to withdraw consent at any time, without any effect on anything that came before.
  • The right to lodge a complaint with your local data protection authority, if you feel something hasn't been handled correctly.

What are cookies?
